Who we are

The Southern Management Association (SMA) Website (each, a “Site” and collectively, the “Sites”) follows this Privacy Policy, which describes our data collection, usage, and sharing practices. The objective of this policy is to inform our members and other customers in a fair and transparent manner about how we gather, use, and handle data. Reference in this policy to “we,” “us,” or “our,” means SMA. Where we refer to “you” or “your” in this policy, we mean the individual user that browses, accesses, and uses our Sites.

Who is covered under this Privacy Policy?

Anyone who accesses the Sites.

Information Types

Personal Information

Personal information is any information that identifies you personally, such as your name, email address, mailing address, or other data that can be reasonably linked to this information, such as the information you provide when you create a user account and profile on our Site (collectively, “Personal Information”).

Browsing Information

Browsing information is information recorded about a user such as internet protocol address, browser type, operating system, internet service provider, and language preference (collectively, “Browsing Information”).

What personal data we collect and why we collect it

We collect information when you visit, browse, and access our Sites. You are able to browse our Sites without registering for or signing into a user account. The information we collect, and how that information is used, depend on how you use our Sites, the services you choose to engage in, and the information you provide us, as outlined in greater detail below.

Browsing Our Website

When you visit our Sites, we collect the following Browsing Information from you:  the type of internet browser you are using, your device type, geographic location, internet protocol address and web history.  We collect this Browsing Information by deploying an internet cookie to your computer or device, which provides us with this information.  For more information on cookies and your choices about how they work, please see the section of this Privacy Policy titled “Cookies.” 

User Account and Profile

When you choose to register and create a user account on our Site and become a SMA member or otherwise use our services, we will collect the following information from you, which is required for membership and to establish a user account and profile with SMA:

  • first name
  • last name
  • email address
  • username
  • password

You also have the option to provide SMA with any of the following information in your user profile, which is entirely voluntary, and is used by SMA to enhance your user experience and for statistical purposes, including understanding the professional history and demographics of our members:

  • mailing address
  • city
  • state
  • country
  • postal/zip code
  • preferred title
  • employer
  • specialization/interests
  • journal hard copy preference

SMA will retain user account information that is necessary to conduct day-to-day association business for the purposes of administering your account, including:

  • User email history of sent items including marketing materials
  • User sales history, dues, workshops, event purchases and registrations, research access purchases, merchandise purchases and donations.
  • Membership type and progression
  • User committee service history
  • User submitted award documents
  • User photographs
  • Whether the user is an award recipient
  • Conference submission materials and participants
  • Optional User Services

SMA users have the option to opt in for the following services, which a user may opt out of at any time by contacting us at the address provided below:

  • Having your primary U.S. based postal address included in the Journal of Management mailing list

How We Use Information

We use your Browsing Information to ensure that our services and Sites are working as intended, to improve and optimize your user experience browsing the Sites, and to track and troubleshoot outages or problems with our services or Sites. We also use your Browsing Information to measure the performance of our Sites and to improve upon our services.

We use Personal Information we collect from you, including your name, email address, or mailing address, to communicate in response to your inquiries of us. We use your Personal Information, including payment card information when you register for SMA membership or make other purchases/donation, for purposes of completing the payment transaction.

We use the Personal and Browsing Information of users to provide and administer the services available with SMA membership. Users may opt-in and consent to being included on mailing lists, registries, newsletters, updates, and other promotional materials. Users may withdraw their consent at any time by updating their mailing preferences or contacting us and requesting removal from a particular list.

Cookies

We utilize cookies each time you access our Sites. Cookies are small files that we transfer to your computer’s hard drive through your web browser, to enable us to recognize you when you return to our website. Depending upon your Internet browser type, you may have the option to block cookies, including those used on our Sites. Blocking or rejecting cookies from our Sites will prevent you from engaging in certain functions and services offered on our Sites.

How We Share Information

The SMA member directory is only available to SMA members within a members-only section of the Site. All member names, email, professional status, location, and professional information are listed in the directory.

To protect against potential fraud, we will verify information collected from the Sites with our trusted third party business partners, with whom we contract for services. During such verification process, we will receive Personal Information about you from such third party business partners. In particular, if you use a credit card or debit card to purchase services from us, we will utilize payment card authorization and fraud screening services to verify that your payment card information and address match the information that you supplied to us, and to verify that the payment card has not been reported as lost or stolen. We also utilize third party service providers to host our Sites and data, pursuant to contracts with us and such service providers are restricted from using any information except for the purposes of rendering services to SMA.   Except as described in this Privacy Policy or at the time we request the information, we do not otherwise use, share, or disclose your personal information to any third parties.

Website Security

No data transmissions over the Internet can be guaranteed to be 100 percent secure. Consequently, we cannot ensure or warrant the security of any information you transmit to us. You hereby acknowledge and agree that any information that you provide and transfer to SMA is being done at your own risk. Credit card information is transmitted using secure socket layer (SSL) encryption. In the event of a data breach, SMA will, in accordance with applicable law, notify the relevant authorities of such incidents

How long we retain your data

Any information you share on the site is retained indefinitely. This includes profile information, comments, purchases, membership, and any other information we collect in the course of your use of the site. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Changes in our Privacy Policy

SMA reserves the right to make changes to the Privacy Policy at any time and for any reason. Users will be notified of changes to the Privacy Policy with a notice on our Sites’ main pages. It is your obligation to regularly check this Privacy Policy for updates.

Use of this site by children

SMA is concerned about the safety of children that use the Internet and will never knowingly request personal information from anyone under the age of 13. Users of our website must be at least 13 years of age. If you are under 13 years of age, you should leave the SMA Sites and under no circumstances should you provide us with any personal information. If as a parent or guardian of a child, you suspect that your child may have provided us with personal information, please contact us at the address provided below to have such information deleted and destroyed. Users within the European Union (“EU”) that are “minors” as defined by applicable EU law shall not use SMA Sites or provide any information to SMA.

EU Data Rights

The European Union’s (“EU”) General Data Protection Regulation (“GDPR”) requires that data subjects (identifiable natural persons) located within the EU must be provided with certain disclosures, which are included below.  For purposes of this section, the terms “controller,” “personal data,” “processing,” and the data rights listed below shall have the meaning set forth in Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016.

Purposes of Processing

Personal data is processed for the purposes set forth in this Privacy Policy.  The legal basis for the processing activities in relation to SMA management is by contract and consent as noted in the Privacy Policy.  When you contact SMA with an inquiry, sign up to be included on a mailing list, or for a newsletter, the legal basis for the processing is by consent. 

Recipients or categories of recipients of the personal data

Personal data is received by our payment card service provider for the sole purposes of processing payment transactions on our Sites. Personal data is also received by our trusted third party business partners, who provide us with web, data and platform hosting services, by contract. In each case, our service providers are restricted from using information except as required to perform their services for SMA. 

Personal Data Storage Criteria

Personal data is stored by us until such time as you contact us in writing to request that your personal data be deleted.

EU Data Rights

EU data subjects have the following data rights:

  • Right to access to the personal data we have for such data subject;
  • Right to rectification of incorrect personal data;
  • Right to erasure of the personal data we have for such data subject;
  • Right to restriction of processing concerning such data subject;
  • Right to object to our processing of such personal data;
  • Right to data portability, that is, a copy of the data we have on such data subject;
  • Right to withdraw consent at any time to our processing of such data subject’s personal data; and
  • Right to lodge a complaint with a supervisory authority.

Data transfers

SMA is located within the United States.  If personal data is transferred to a third country or international organization, SMA will comply with applicable data laws, including executing the Standard Contractual Clauses approved by the European Commission with the applicable party. 

Personal Data Requirements

Providing us with personal data is a contractual requirement for membership and other use of services to the extent outlined in this Privacy Policy. Providing us with Browsing Information as defined in the Privacy Policy is also required as a condition of use of our Sites. If you choose not to provide us with personal data or Browsing Information, where required and mandatory, you will not be able to utilize certain services and functions of our Sites or apply for SMA membership.
