Call for SMA Volunteer Coordinator

The Volunteer Coordinator recruits, organizes, and supports volunteers for the Southern Management Association (SMA), ensuring that all conference and event activities are adequately staffed and run smoothly. This role plays a vital part in creating a welcoming, inclusive, and efficient environment during the Annual Meeting by managing volunteer recruitment, scheduling, and coordination. The Volunteer Coordinator works closely with the Executive Director, Program Chair, and Conference Coordinator to identify volunteer needs, plan logistics, and match volunteers to appropriate duties based on their skills and interests.

Key responsibilities include developing and maintaining a roster of volunteers, communicating event expectations and schedules, and serving as the primary point of contact before and during the conference. The Volunteer Coordinator ensures that volunteers are well-prepared and supported throughout their assignments, helping them understand their responsibilities and feel connected to the broader SMA community. The role also involves recognizing and appreciating volunteer contributions to reinforce SMA’s culture of collaboration and service.

Success in this position requires strong organizational skills, conscientiousness, effective interpersonal communication, and familiarity with the operations of the Annual Meeting. A well-connected network within the SMA membership is particularly valuable for recruiting capable and committed volunteers. While the role’s core duties are expected to remain stable, some organizational and scheduling tasks may evolve with new automation tools and systems. The Volunteer Coordinator reports primarily to the Executive Director and works closely with the Program Chair, Conference Coordinator, and the conference leadership team.

Selection Process:

The Volunteer Coordinator shall be chosen by the Executive Committee and approved by the Board, upon nomination by a committee appointed by the President. The current nomination committee includes Lisa Brady, Jacob Breland, Micki Kacmar, and Lex Washington. The position will be for a 2-year period – the first year is a shadow year to learn the position and the second year the person selected will perform the Volunteer Coordinator role while training their replacement. Work in the shadow role will begin in May of 2026.
